The organisation

The Bong Bong Picnic Race Club was formed in 1886. The first meeting ran in 1887. The Great Depression shut it down in 1933. It reformed in 1959 and grew so popular that by the 1980s it was the largest picnic race meeting in the world. In 1985, a crowd so large it overwhelmed local authorities forced the club to shut down again. When it returned in 1992, it returned as a members-and-guests-only event. The annual race day at Wyeera Racecourse features thoroughbred racing, fashions on the field, and close to 5,000 attendees.

The challenge

When your entire business model is "members and guests only," membership management isn't a back-office function — it's the front gate. The club manages a 3,000-strong contact database where every person's membership status determines whether they get through the gate on race day. The club also hosts polocrosse, dressage, and caravan camping year-round.

How TidyHQ helped

TidyHQ has managed Bong Bong's membership and events for over 7 years. The membership system is the gatekeeper — literally. Financial members and their registered guests are tracked in real time. The custom domain at bongbongprc.com.au handles membership applications. Event scheduling manages race day and the full year of equestrian events. Document storage houses governance records and archives dating to 1886.

The outcome

TidyHQ isn't just Bong Bong Picnic Race Club's back office — it's their public face too, powering both operations and their website.

  • 7+ — years running on TidyHQ
  • ~5,000 — race-day attendees managed through membership system
  • 139 — years of racing heritage

From their public website to membership renewals to event management, Bong Bong Picnic Race Club handles it all from one dashboard. New committee members inherit a working system, not a collection of logins and spreadsheets.
