A Stripe payout of $2,847\.60 lands in the club account on a Tuesday\. The treasurer knows it is a mix of senior registrations, a few junior renewals, the trivia night tickets and some hoodies\. What she does not know, without an evening of cross\-referencing, is how much of it was which\. And the accountant who signs off the books before the AGM wants it coded properly in Xero, not dumped into “Sales”\.

That is the job our new Xero integration does\. It went into beta with a small group of clubs in November 2025, and in September 2026 it became self\-serve on the Pro plan\.

## Is this the same Xero integration from the 2021 guides?

No\. If you have read our older posts, such as the [2021 Xero integration guide](/blog/tidyhq-xero-integration-guide), those describe the original integration\. That one worked by syncing transactions manually from Finances, and they arrived in Xero as draft invoices you then approved and marked as paid\. It is no longer available for new connections\.

The new one, called **Xero V2** in the Apps list, works from your Stripe payouts instead, and can post them automatically\.

## How does the Xero V2 integration work?

When a Stripe payout reaches your bank account, TidyHQ posts it to Xero as a bank transaction, broken down by the TidyHQ finance categories of the payments inside it\. Each category maps to an account in your Xero chart of accounts\. So the $2,847\.60 arrives already split into membership income, event income and merchandise, with the Stripe processing fees and TidyHQ fees on their own lines as expenses\.

The lines add up to what actually hit the bank, so reconciling in Xero is matching one bank line to one transaction, as normal\.

Cash and bank transfer payments you record in TidyHQ \(the “direct payments”\) can go across too\. Choose a date range, tick the payments you want and click **Post to Xero**\. Each comes through as its own line item, and payments already posted are shown so you do not send one twice\.

## Who can use it?

Three conditions\. Your organisation needs to be on the Pro plan\. You need Stripe connected in TidyHQ, because the integration works from Stripe payouts\. And there has to be a free place\.

Places are limited because Xero limits how many organisations can be connected at once\. If every place is taken, the app says it is full right now, and you can add it to your watchlist so we know you are waiting\. If you already added the app, your settings are kept and you can authorise Xero as soon as a spot frees up\.

You also cannot run the old and new integrations side by side\. If the original Xero app is still active, turn it off first\.

## How to set it up

1. Go to **Apps**, then **Xero V2**, and click **Add App**\.
1. Click **Authorise Xero** and sign in to connect your Xero organisation\.
1. Open the **Configuration** tab and choose the Xero bank account your Stripe payouts land in\. It needs to be a “Bank” type account in the same currency as your TidyHQ account\.
1. Decide whether payouts should post automatically, and choose any Roles to notify\.
1. Map each TidyHQ category to a Xero account, then click **Update Account Mapping**\.

By default, every income category maps to Sales \(200\) and every expense category to Cost of Goods Sold \(310\)\. Change those\. The whole point is that your accountant sees “Senior subscriptions” and “Canteen” as separate lines\. ## What happens if a payout fails to post?

A payout will not post if any category or fee account in it is unmapped, or if the payout’s currency does not match your organisation’s\. When Xero rejects a payout, TidyHQ now shows Xero’s actual reason and lets you retry it once you have fixed the problem\. The Roles you chose get notified when a payout is ready, posted or failed\.

## What it does not do

It handles Stripe payouts and the cash or bank payments you post yourself\. It is card payments through Stripe only, because that is how TidyHQ takes online payments\. It does not replace your accountant or your chart of accounts, and it will only be as tidy as your categories\. If “Other income” is doing a lot of work in TidyHQ, it will do the same work in Xero\.
