One has the version from 2021, printed and laminated on the clubroom wall\. TidyHQ has been fixing this in stages\. In May, peak bodies got the ability to share Storage folders with their affiliated clubs\. In September we added two things that make it more useful: Storage items can now be links, and clubs see shared folders even if they have never set up Storage themselves\. ## How does a peak body share files with its clubs? A peak body shares a folder from its Storage, and the clubs connected to it see that folder, read\-only\. The clubs can open and download what is in it, but they cannot change or delete anything\. When the peak body adds or updates a file in that folder, every club sees the change\. You can share with specific connected organisations, with all of them at once, or with a contact group made up of organisations\. That last option is handy if you only want to send the junior coaching resources to clubs that run juniors\. The sharing only goes one way, from the peak body down, and it only covers the folders you choose\. ## Can I add a link instead of uploading a file? Yes, since September\. An item in Storage can now be a link to something hosted elsewhere, for example a policy on your national body’s website, a SharePoint document, or a YouTube video of the new tackling technique\. You give it a name and a web address, and it sits in the folder alongside your files\. This matters more than it sounds\. In TidyHQ, replacing an uploaded file creates a new share link, so anything pointing at the old one needs updating\. If the document already lives somewhere authoritative and gets updated there, a link means the clubs always land on the current version, and nobody has to re\-upload anything\. Deleting a link from Storage only removes it from Storage\. The page it points to is not affected\. ## What if a club doesn’t use the Storage app? They still see what you have shared\. Since September, when a peak body shares Storage folders, its affiliated clubs get Storage in their sidebar even if they have not installed the Storage app\. They see a read\-only view of the files shared by their parent organisation, with an option to add Storage for themselves if they want their own space later\. For a peak body, that removes the awkward step of asking every club to switch something on before they can see the concussion policy\. ## How to set it up 1. In your peak body’s TidyHQ, go to **Storage**, then **My files**\. 1. Create a folder for what you want to share, such as “Club policies 2026”, using **New**, then **New Folder**\. 1. Upload files, or add links to documents hosted elsewhere\. 1. Click the three dots next to the folder name and choose **Share folder**\. 1. Pick the clubs, switch on sharing with all connected organisations, or choose a group of organisations, then save\. Clubs will find it under **Shared with us** in Storage\. Anything you put in a shared folder is visible to the clubs you shared it with, so a separate “For clubs” folder keeps that deliberate\. Shared files and folders cannot be searched yet, so name them clearly\. Files cannot be renamed after upload either, which is a good reason to start file names with the date: “2026\-03 Member Protection Policy\.pdf” sorts itself\. Sensitive documents do not belong in Storage\. Anyone with Storage admin permission can see everything in it, so Working with Children Check records and the like belong on the person’s contact record\. Each account includes 25GB of Storage, with a 2GB limit per file\.
