# How to Run a Successful AGM for Your Club

## Why the AGM Matters

The annual general meeting is the one time each year when the full membership holds the committee accountable\. Financial reports are presented\. Committee positions are elected\. Decisions are put to the members\.

It is also, if handled well, the best engagement event of the year\. Members see the club's achievements, understand the finances, and feel ownership of the direction\. If handled poorly, it is the meeting everyone dreads and nobody attends\.

## Eight Weeks Before: Preparation

**Check your constitution\.** Your rules will specify notice periods, quorum requirements, and what must be on the agenda\. Non\-compliance can invalidate the meeting\. Read the rules\. Follow them\.

**Set the date and venue\.** Weeknight evenings work for most clubs\. Avoid school holidays and major sporting events\. Book a venue that comfortably fits your expected attendance \- typically 20\-30% of membership for most clubs\.

**Prepare the financial report\.** The treasurer should have clean, reconciled accounts\. If you use TidyHQ with Xero integration, this is an export\. If not, start now \- you need at least a month to prepare\.

**Prepare the president's report\.** What did the club achieve this year? Membership numbers, events run, competitions entered, partnerships formed\. Specific numbers, not vague claims\.

## Four Weeks Before: Notice

**Send formal notice\.** Your constitution specifies the notice period \- usually 14 or 21 days minimum\. Include date, time, venue, agenda, and any special resolutions\.

**Distribute reports\.** Send the financial report and president's report with the notice\. Members who read them before the meeting ask better questions and the meeting runs faster\.

**Call for nominations\.** Committee positions being elected need nominations\. Open nominations early\. Follow up personally with people you want to nominate\.

## One Week Before: Logistics

**Confirm venue\.** Check booking\. Arrange seating\.

**Prepare the agenda\.** Standard AGM agenda: apologies, minutes of previous AGM, president's report, financial report, election of committee, general business\.

**Print sign\-in sheets or set up digital check\-in\.** You need to record attendance for quorum and voting purposes\. TidyHQ's event check\-in handles this\.

**Prepare voting materials\.** If you have contested elections or special resolutions, prepare ballots\.

## On the Night

**Start on time\.** Respect the people who arrived on time\. Do not wait for latecomers\.

**Confirm quorum\.** Count attendees against your quorum requirement\. If you do not have quorum, you cannot make decisions\. Your constitution will specify what happens next\.

**Keep it moving\.** Each report gets a set time\. Questions are invited but not unlimited\. The chair manages the agenda\.

**Elections\.** Declare positions vacant\. Call for nominations\. If contested, vote\. If uncontested, move that the nominee be elected\. Record the result\.

**General business\.** This is where members raise issues not on the agenda\. Manage expectations \- big decisions should be on notice, not sprung from the floor\.

## After the Meeting

**Distribute minutes within 7 days\.** Include all decisions, election results, and action items\. Store them in your committee workspace \- not in someone's personal email\.

**Update committee records\.** New committee members need access to systems, bank accounts, and documentation\. Start the handover immediately\.

**Communicate outcomes to members who were not present\.** A brief summary email \- "here is what happened at the AGM" \- keeps the broader membership informed\.

## The Numbers to Know

Track year\-over\-year: AGM attendance as a percentage of membership, number of contested elections, number of questions from the floor\. These are health indicators\. Declining attendance signals declining engagement\. Uncontested elections signal a shrinking volunteer pool\. No questions from the floor signals either satisfaction or apathy \- context will tell you which\.
