# End-of-Season Wrap-Up: What Your Club Should Do Before Summer

## Do Not Let It Slide

The season ends\. Everyone is tired\. The temptation is to lock the clubhouse and deal with it in three months\. But the work you do now \- while things are fresh \- saves weeks of reconstruction later\.

## Within 2 Weeks of Season End

**Financial close\.** Reconcile all season income and expenses\. Chase outstanding invoices\. Close off event revenues\. The treasurer should have clean numbers while bank statements are still fresh\.

**Presentation night\.** Run the end\-of\-season awards\. Create the event in TidyHQ\. Track attendance\. Celebrate the season\.

**Sponsor acquittals\.** Report to sponsors on what was delivered\. Photos, social media mentions, signage, event attendance\. Do this while the data is accessible, not in February when nobody remembers\.

**Member feedback\.** Send a short survey\. What did members enjoy? What would they change? Three questions maximum\. Collect while engagement is still warm\.

## Within 4 Weeks

**Governing body returns\.** Submit any post\-season reporting required by your state or national body\. Membership numbers, financial summaries, compliance documentation\.

**AGM preparation\.** If your AGM falls after the season, start preparing now\. Financial statements, president's report, secretary's report\. Schedule the meeting\. Send formal notice per your constitution\.

**Equipment and facilities\.** Audit equipment\. Note what needs replacing\. Report any facility issues to the council or venue owner\. Do this before summer damage makes problems worse\.

**Data review\.** Pull the season numbers\. Total members versus last year\. Event attendance\. Revenue by source\. Volunteer hours\. This data informs next season's planning\.

## Within 8 Weeks

**AGM\.** Hold the meeting\. Elect the new committee\. Present the reports\. Make decisions that need member approval\.

**Committee handover\.** New committee members need access to TidyHQ, bank accounts, email, and all operational systems\. Outgoing members should update their role documentation\.

**Strategic planning\.** What worked this season? What did not? What should change? A 2\-hour planning session with the committee now prevents reactive decisions next pre\-season\.

**Thank the volunteers\.** Personally\. By name\. The people who ran the canteen, scored the games, coached the juniors, and managed the grounds\. They need to know their contribution was valued\.

## Set Up for Next Year

Update the pre\-season checklist with lessons from this season\. Schedule key dates for next year \- registration opening, renewal communications, pre\-season events\. Template the tasks so they are ready to assign when the new committee starts\.

The clubs that close well open well\. The end\-of\-season wrap\-up is not just housekeeping \- it is the foundation for next year's success\.
